Events & RSVP: one guest list, not Eventbrite plus a spreadsheet
Opening night should not end with someone merging two guest lists at midnight. An Event record holds RSVPs, waitlist, ticket orders, and linked contacts in the same workspace as your CRM and exhibitions. Free RSVP or paid tickets publish on your public site when you are ready.
Open Events and create a record
Sidebar → Events (`/events`). The list shows date, venue, RSVP status, and linked exhibition. Click Add event and choose Event, Opening, or Artist talk.
Opening links to an exhibition for vernissage week. Artist talk adds speaker fields for the public page. Standalone Event covers dinners, member previews, and ticketed talks without a show record.
Set details, capacity, and public RSVP
Section nav: Overview, Details, Ticketing, Images, Files, Notes, Links. On Details, set Name, Starts (and Ends when the run spans days), Venue, and Description for the public page.
Toggle Enable public RSVP link when collectors should register online. Set Capacity to cap headcount; zero means unlimited. Ticket price at zero runs a free RSVP flow with optional plus-ones.
Paid events need Stripe connected under Settings → Integrations and a ticket price above zero on Details. Checkout uses the same storefront cart as artwork sales.
Link an opening to an exhibition
From an exhibition Overview, use Create opening guest list to spawn an opening event with dates prefilled. Or on an existing event Links tab, link Exhibition to the show record.
The opening appears on the exhibition Overview and on the public exhibition page when both are published. One opening per exhibition keeps vernissage stats in one place.
Artist talks link Speakers on Links: artist and moderator contacts show on the RSVP page and in pre-event email templates.
Invite guests and share the RSVP link
On event Overview, copy the Public event link or open it to preview. Attach contacts from Overview linked contacts: search individuals, add a List, or import a segment.
Optional Resend invitation sends the gallery-branded email when you add VIPs late. Public RSVPs create or match a Contacts row from name and email automatically.
Confirmed, declined, and waitlisted guests appear on Overview stats and on each contact Activity tab. No CSV export required before the door opens.
Run check-in and manage the waitlist
Opening night: Overview → Check-in mode for a tap-friendly guest list. Mark arrived updates checked-in counts against expected headcount (confirmed guests plus plus-ones).
When capacity is full on a free event, new RSVPs land on the Waitlist section. Promote to confirmed when a seat opens; the guest receives the waitlist email automatically.
Paid sold-out events do not waitlist. Refund policy per event lives on Ticketing; workspace defaults sit under Settings → Events.
Publish on Website Studio and follow up
Website Studio → Content → Events. Toggle On web for events with public RSVP enabled. Edit the Event detail template under Site → Pages, then Publish update.
Add the event to site navigation or an email campaign block. Post-event, Overview → Draft follow-up email prefills attendees for a thank-you broadcast.

FAQ
- Do we need Eventbrite or another ticketing tool?
- No. Free RSVP, waitlist, and paid ticket checkout run on your public site with Stripe. Guest records land in CRM automatically.
- Where is the public RSVP link?
- Event Overview → Copy RSVP link (or Open RSVP page). The URL works once Enable public RSVP link is on in Details.
- Can we cap a free opening and use a waitlist?
- Yes. Set Capacity on Details. When full, new submissions join the waitlist; staff promote guests from Overview when seats open.
- How do paid tickets work?
- Set a ticket price on Details, connect Stripe, and enable public RSVP. Collectors add tickets to the storefront cart; orders appear under Ticketing on the event.
- Which plan includes public RSVP pages?
- Event records and guest management run on Core. Public RSVP and ticket checkout publish through Website Studio on Advanced. See pricing.
