Exhibitions: one record for the checklist, labels, site, and sales

A gallery show is not a spreadsheet plus a press PDF. In Art.industries an Exhibition record holds dates, venue, linked Works, press copy, and commercial activity. This guide walks the tabs your registrars and sales team open from install week through post-show returns.

Open Exhibitions and create the record

Sidebar → Exhibitions (`/exhibitions`). The list shows type, artists, venue, dates, and work count. Click Add exhibition (or duplicate a past show as a template).

On Details, set Title, Type of show, Opening date / Full dates, Venue (link an Address or pick a contact venue), and Press release text when ready. Toggle On website when the public page should go live.

Build the checklist on Linked artworks

Section nav: Overview, Details, Images, Files, Notes, Links, Linked artworks, Activity. Open Linked artworks to add booth or gallery works in hang order.

Use Add artworks to exhibition from the exhibition header or link from each work Overview → linked Exhibitions. Works inherit the exhibition reference for exports and the public site.

For loans, link incoming works on the work Links tab and update Status timeline Availability and Location when custody changes. See Condition reports for loan paperwork.

Link artists, curators, and press on Links

Links tab sections: Artists, Curators, and related contacts. Solo and group shows on the public site read artist links from here.

Build a press segment in Contacts: filter by tags or lists, then save as a List you can target from email campaigns. Link the list on the exhibition Overview preview when useful.

Notes holds internal install reminders; Files stores loan agreements and insurer PDFs marked private unless you intend to share them.

Export wall labels and checklists

From Linked artworks, multi-select rows → Export…. Choose Wall label for per-work labels or Checklist for a booth or gallery hang list.

Walk the export modal tabs: Items (field selection), Layout, Content, Publish. Enable Link export to related records so PDFs stay on the exhibition Files tab.

Dimensions and credit lines pull from each work Details tab. Fix a typo once on the work; regenerate labels instead of retyping in InDesign.

Publish the exhibition page

Open Website Studio → Content → Exhibitions. Toggle On web for shows you want listed. Set priority and hero image on the exhibition Images tab first.

Under Site → Pages, edit the Exhibition detail template blocks (press text, works grid, install photos). Publish panel → Publish update when dates or sold works change mid-run.

Track opening-week sales on Activity

Reserves and invoices tied to show works appear on work Overview and roll up on exhibition Activity alongside notes and campaigns.

When a work sells, update Status timeline Availability; the public listing updates on the next publish. Unsold gallery-owned works get a new timeline row back to storage after deinstall.

Past exhibitions stay in the system for artist history, SEO, and the next director reviewing what converted. Nothing auto-deletes when the run ends.

FAQ

Where is the install checklist in the UI?
Linked artworks on the exhibition record. Reorder rows there; exports and the public works grid read the same ordered list.
Can wall labels regenerate after a dimension fix?
Yes. Edit Details on the work, then Export… → Wall label again from Linked artworks. The PDF uses the updated fields.
How do loaned-in works appear on the checklist?
Add or link the work, set owner on Links, and mark loan dates in Status timeline. The work can sit on Linked artworks like gallery inventory.
When should On website flip on?
Most galleries enable On website in Website Studio Content a few days before opening. Mid-run sales update availability after the next Publish update.
Can two exhibitions run in parallel?
Yes, as separate exhibition records. A work can only be in one physical Location at a time; conflicting checklists surface when timeline locations disagree.
