Managing multiple works: selection or a saved list
Most gallery work happens in batches, a fair booth, a viewing room, a consignment intake, a wall-label run. You do not need to open each work one by one. On Works (`/works`), multi-select rows to build a temporary Selection, or save the same set as a List when you will reuse it. Both paths feed the same exports, bulk edits, and create-from-selection actions.
Two patterns: Selection and List
Selection is a working set in memory. Check rows on `/works`, add more from search results or an exhibition, then run Export…, Bulk edit, or Create from the top-bar Selection badge. Clear it when you are done.
List is a saved record under Lists (`/lists`). Name it (“Basel booth 2026”, “Smith shortlist”), add or remove members over time, and open it next week without rebuilding the checkboxes. Lists also link to exhibitions (Fair Mode booth list) and show on work Network tabs.
Rule of thumb: Selection for a one-off PDF today; List when the same works will come back tomorrow.
Select works on the Works list
Open Works from the sidebar. Each row has a checkbox. Click a row’s checkbox to toggle it, or use Select visible from the list toolbar to grab everything on the current filtered page.
Filters narrow the set before you select: Availability, Location, Artist, On website, tags, and advanced filters. Example: filter Location → fair storage → Select visible → Export… → Checklist.
From a work detail page, the ⋯ menu includes Add to selection so you can hop through favourites without returning to the list. From an exhibition ⋯ menu, Add works to selection loads every linked artwork at once.
Use the Selection badge
When at least one work is selected, the Selection badge appears in the top bar (image icon with a count). Click it for actions on the current set:
View selection filters `/works` to only selected rows so you can review before export. Export… opens the modal (Checklist, Wall label, Packing Slip / Shipping Label, Full-page portfolio, etc.). Export photos… bundles install images. Bulk edit updates shared fields across the set where the product allows it.
Under Create, spin up a new List, invoice, exhibition, consignment, loan, Shipment, Hold, or private viewing room with the selected works already attached. Add to existing… appends them to a list, hold, exhibition, or other record you pick from search.
Create and maintain a List
Fast path: select works → Selection → Create → List. The app creates the list and links every selected work as a member.
Or open Lists → Add list, name it, then on the list Members tab use Add artworks to search and attach rows. Reorder members when hang order matters; the order can flow into checklist exports.
Open any list detail page to rename, add notes, merge duplicates, or Create from list (invoice, shipment, viewing room, etc.) without re-selecting checkboxes. List member counts show on the `/lists` index.
Common batch workflows
Fair booth: build a List during intake → link it in exhibition Fair Mode → multi-select the same works for Packing Slip and Insurance exports. See Art fair inventory prep.
Collector shortlist: Selection → Create → Viewing room, or save as List first if you will revise the set before sending. See Private viewing rooms.
Show hang: link works on exhibition Linked artworks, then multi-select there or on `/works` for Wall label exports. See Exhibition management.
Consignment intake: select incoming works → Create → Consignment or Add to existing… on an open contract. Timeline and Network links stay on each work record.
Selection vs List, quick reference
- Selection: temporary, lives in the top bar, cleared with Clear selected, ideal for one export or create action right now.
- List: saved under `/lists`, named and searchable, supports Members edits and Create from list, links to exhibitions and work Network tabs.
- You can move between them: select rows → Create → List to promote a Selection into a saved list; open a list and use its works in exports without checking boxes again.
FAQ
- Does Selection sync across devices?
- Selection is per browser session. Save a List when you need the set to persist or share with a colleague who opens the same workspace.
- Can I select works from different filtered pages?
- Yes. Selection accumulates as you check rows. Use View selection to see the full set, or Clear selected to start over.
- What is the difference between a List and a Group?
- Lists (`/lists`) hold artwork members for checklists, fairs, and shortlists. Groups under Contacts hold contact members for mailings and CRM segments. Works use Lists; collectors use Groups.
- Can I bulk-add an entire exhibition to Selection?
- Yes. On the exhibition detail ⋯ menu, choose Add works to selection. Every work on Linked artworks loads into Selection at once.
- Do lists appear on the public website?
- Not by default. Lists are internal working sets. Publish works through Website Studio Content or build a viewing room from the selection.
