Exports: one modal for labels, catalogues, and broker CSVs
The Export… action on `/works`, Lists, and exhibition Linked artworks opens the same wizard. Pick a type (Checklist, Full-page portfolio, Wall label, COA, etc.), choose fields once, and regenerate after a dimension fix without retyping.
Start an export
Select works on `/works`, open a List, or use exhibition Linked artworks. Toolbar or ⋯ menu → Export… (PDF types) or Export photos… (image bundles).
Condition Report requires exactly one work. Multi-work types include Checklist, Compact portfolio / label, Price list, and Packing Slip / Shipping Label.
Spreadsheet and text downloads appear when the source supports CSV or TXT output from the same modal.
Pick the export type
Common gallery types from the type dropdown:
- Full-page portfolio and Compact portfolio / label for collector PDFs.
- Checklist for fair hang lists and registrar packets.
- Wall label for per-work labels.
- Condition Report and Insurance / Appraisal Report for lenders.
- Packing Slip / Shipping Label for shippers.
- COA, Consignment Agreement, Loan Agreement when linked to contracts.
- Invoice PDF preview from an invoice record (browser tab; see invoicing).
Walk Items, Layout, Content, Publish
Items: reorder works and toggle caption fields (artist, title, dimensions, price, location). Custom artwork fields from Settings appear when configured.
Layout: paper size, template, multilingual PDF options. Saved page templates live under Settings branding.
Content: header HTML, logos, footer contact block. Publish: preview, download, and Link export to related records to attach the file on work Files or exhibition Files.
Fair and exhibition catalogues
Build the item list from exhibition Linked artworks so install order matches the hang.
Regenerate the fair PDF after marketing copy changes but avoid dimension edits after the booth lock described in art fair prep.
For viewing-room-specific PDFs, open the room editor → Export… → Viewing room catalog.
CSV and price lists
Price list and B2B line sheet (wholesale) types support edition galleries and trade fairs. Pick wholesale tier on the Content tab when applicable.
CSV exports include stable work IDs for accountants or partner aggregators. Select columns per download; reuse the same field set next month.
Round-trip corrections: fix the work Details field, regenerate. Do not maintain a parallel spreadsheet as the canonical size.
Branding and language
Connect brand colors, fonts, and logos under Settings before the first client-facing PDF.
PDF language on the export modal supports single or multiple languages with stacked or side-by-side layouts.
Missing translation keys surface in the modal; add studio translations on the work or artist record before regenerating.
FAQ
- Where do exports attach?
- When Link export to related records is checked on Publish, PDFs land on Files for each work or the exhibition you exported from.
- Can I export from a consignment?
- Open the consignment record → Export… with types Consignment Agreement, Consignor Statement, and portfolio types for attached works.
- Which type is the wall label?
- Wall label (PDF). Use Compact portfolio / label when you want multiple small labels per page.
- Does Condition Report allow multiple works?
- No. Select one work or open Export… from a single work detail page.
- How do invoices fit in?
- Open the Invoice → print/export actions use the Invoice export type for a PDF snapshot of line items and payment block.
