Discrete vs aggregate copy tracking

Once you have an Object or Catalogue work and add a configuration, you choose Copy tracking. It sounds technical, but the question is simple: Does each copy need its own identity, or just a headcount?

Where you see this

When you add a configuration: on the Configurations tab (Editions or Options, depending on your workspace): Copy tracking offers Discrete or Aggregate. New to configurations? Start with what configurations are.

Gallery workspaces in Editions mode show both options plus numbering fields. Maker workspaces in Options mode usually default to aggregate: size label and quantity: which fits most variant inventory.

Discrete: each copy counts

Choose discrete when the number matters: limited editions, artist proofs, any run where someone will ask "which impression sold?"

The configuration creates numbered Edition copy rows (1/25, 2/25…) and tracks each one separately. Certificates, condition notes, and viewing rooms can point at a specific copy.

  • Use for: numbered editions, APs, bon à tirer impressions.
  • Storefront: shows total available; checkout assigns the next copy.
  • Stock: one unit per impression: sold or available.

Aggregate: quantity only

Choose aggregate when copies are interchangeable: you only need to know how many are left.

One stock count on the configuration; no row per poster or ring size. Posters, print-on-demand, merchandise, and most size variants belong here.

  • Use for: open editions, posters, POD, mugs, jewelry sizes sold by quantity.
  • Storefront: normal add-to-cart with a quantity selector.
  • Stock: a single number goes up or down with each sale.

Quick picker

When in doubt: Would the artist or registrar care which copy sold? If yes, discrete. If no, aggregate.

  • Edition 1/50…50/50 → discrete.
  • Open-edition print, any impression fine → aggregate.
  • 200 exhibition posters → aggregate.
  • Ring size 7, twelve in stock → aggregate configuration labelled "Size 7".
  • Single sculpture, no variants → skip configurations; use an Object instead.

A few real setups

Common patterns: each starts with the right work type, then a configuration, then copy tracking:

  • 25-print photo edition: Catalogue work, discrete configuration; copies 1/25…25/25 appear automatically.
  • Three print sizes online: Catalogue work, three aggregate configurations (one per size).
  • Mugs and tote bags: Catalogue work, one aggregate option per product; stock drops on each storefront order.
  • Painting plus optional catalogue print: Object for the painting; add an aggregate configuration for the print if you offer one.

Can you switch later?

Copy tracking is set when you create the configuration and cannot be changed after. If you chose wrong, add a new configuration, move listings and stock, and archive the old one.

Not sure? Default to aggregate unless numbering is part of the deal. You can always add a separate discrete configuration later (for example APs beside an open edition).

常见问题

What if I pick discrete for 500 posters?
It works, but you get 500 individual copy rows: more overhead than you need. Interchangeable posters should be aggregate.
Do aggregate options support made-to-order?
Yes. Made-to-order and lead time work either way. POD often starts at zero stock with MTO turned on.
Artist proofs separate from the main run?
Add a second discrete configuration (for example prefix "AP") instead of mixing APs into the numbered run.
Where do I set price and shipping?
On each configuration's Commerce panel: price, shipping, and the storefront toggle. Copy tracking only affects how stock is counted.
Editions mode vs Options mode?
Same configuration underneath: different labels and fields. Galleries see full edition metadata; makers see a simpler Options flow defaulting to aggregate.
